ELIN’S RESPONSIBLE PROCUREMENT AND SUPPLIER SUSTAINABILITY POLICY
1. PURPOSE AND SCOPE
As Elin we aim to establish long term, trust based and transparent supplier relationships in alignment with sustainability principles. This policy defines the principles that will ensure actions are taken within the framework of ethical, environmental, social and economic responsibilities throughout the collaboration process.
Our suppliers and business partners are expected not only to comply with legal requirements but also to adhere to human rights, environmental accountability and corporate ethical standards. This policy encompasses all suppliers and subcontractors engaged in business with Elin.
2. SUPPLIER OBLIGATIONS AND CORE PRINCIPLES
2.1 Compliance with Legal Practices and Management Systems
Our suppliers are expected to;
- Fully implement Elin’s applied Management Systems (ISO 9001, ISO 14001, ISO 45001, ISO 10002, ISO 27001, ISO 50001, ISO 37001, ISO 26000) and conduct their operations in full conformity with these systems,
- Comply comprehensively with the Labor Law, Environmental Law, Occupational Health and Safety Law, Energy Efficiency Law, Personal Data Protection Law among others encompassing all national and international legal regulations in force domestically,
- Guarantee the conformity of products and processes to the relevant contractual terms and quality standards.
2.2 Human Rights and Labor Standards
Elin is committed to fostering a supply chain that upholds human rights, promotes secure and equitable work environments and advocates for ethical labor practices. Accordingly we expect our suppliers to adopt and implement the following human rights sensitive protocols;
- Rejection of all forms of discrimination (based on religion, language, race, gender, age, orientation etc) and adherence to the principle of equal opportunity,
- Zero tolerance for forced labor and child exploitation,
- Strict prohibition of physical, psychological, sexual or emotional harassment in any manifestation,
- Full recognition of employees’ statutory rights as mandated by applicable laws,
- Provision of a safe and healthful workplace,
- Implementation of proactive measures to prevent occupational accidents and illnesses.
2.3 Ethical Governance and Corporate Social Responsibility
Elin is founded on principles of integrity, respect and accountable business conduct, placing paramount importance on ethical standards and societal obligations. In this vein we require our suppliers to;
- Embrace and operationalize the Ethical Conduct Guidelines and Implementation Principles published on our website,
- Maintain a steadfast distance from unethical behaviors such as bribery, corruption and fraud,
- Safeguard trade secrets, intellectual property rights, confidential information and personal data,
- Avoid conflicts of interest and promptly notify Elin in the event such situations arise.
2.4 Environmental Sustainability
Environmental stewardship is a core tenet throughout our supply chain. In alignment with this we expect our suppliers to;
- Structure their processes to combat climate change and establish targets aimed at reducing their carbon footprint,
- Promote energy conservation initiatives, efficient utilization of natural resources and recycling programs,
- Adopt measures to curtail greenhouse gas emissions,
- Effectively manage waste and emissions,
- Refrain from using prohibited or restricted chemicals,
- Comply with all relevant legal frameworks pertaining to environmental and energy matters.
2.5 Competition, Transparency and Communication
Elin champions an environment of transparency and fair competition. In line with this commitment we expect our suppliers to;
- Refrain from leveraging shared information for personal gain, avoid conflicts of interest and eschew unfair competitive practices,
- Prioritize transparency and accountability across all processes,
- Foster open communication, a culture of knowledge sharing and adherence to ethical principles.
2.6 Diversity and Inclusion
Elin places significant value on understanding stakeholders’ needs, actively encouraging their participation and incorporating their perspectives. Accordingly, we require our suppliers to;
- Integrate stakeholder viewpoints into their operational processes,
- Demonstrate diligence in comprehending stakeholder requirements and delivering value added solutions.
2.7 Sustainable Value Chain
Elin emphasizes the efficient and integrated management of all resources alongside the continuous enhancement of business processes. In this context we anticipate that our suppliers will;
- Manage all resources in an effective and cohesive manner,
- Commit to ongoing process improvements through lean, innovative and sustainable methodologies.
2.8 Conflict Minerals and Human Rights Violations
Elin upholds respect for human rights and ethical sourcing practices as foundational principles, prioritizing responsible procurement of conflict minerals within the supply chain. To this end we expect our suppliers to;
- Transparently declare the origins of conflict minerals,
- Adopt responsible supply chain protocols to ensure these minerals do not finance illegal armed groups.
2.9 Gift Policy
Elin prioritizes the establishment of conflict free, transparent and equitable relationships in accordance with its ‘’Ethical Conduct Guidelines and Implementation Principles’’ and ‘’Anti Bribery and Anti Corruption Policy’’ In this regard we expect our suppliers to,
- Refrain from offering gifts, hospitality or privileges that could create an impression of impropriety to employees or relevant stakeholders,
- Avoid proposals that may compromise institutional relationships or impartiality.
2.10 Risk Management
Elin emphasizes the effective management of risks within the supply chain from the perspectives of sustainability, business continuity and adherence to ethical principles. Accordingly we require our suppliers to;
- Identify and monitor environmental, social, ethical and legal risks associated with their operations,
- Develop preventive and corrective measures to mitigate these risks.
3. PERFORMANCE MONITORING, AUDITING and CONTINUOUS IMPROVEMENT
- Elin conducts periodic audits and evaluations of its suppliers across key domains including sustainability, quality assurance, environmental stewardship, occupational health and safety, energy efficiency and ethical governance.
- Suppliers are required to authorize third party audits when deemed essential.
- In instances of non conformance, corrective and preventive measures will be mandated and rigorously monitored.
- Suppliers bear the responsibility for ensuring that all personnel are duly informed about the provisions of this policy.
4. COMMITMENT
Our suppliers pledge full adherence to the principles articulated in this policy, committing to furnish requisite information to Elin as needed while concurrently promoting equivalent standards of sustainability and ethical conduct throughout their respective supply chains.
5. EFFECTIVE DATE and REVISIONS
This policy shall take effect upon approval by the Elin Board of Directors. Any subsequent revisions will be disseminated via the Elin Corporation website and formally communicated to suppliers.
The overarching objective in formulating Elin’s Responsible Procurement and Supplier Sustainability Policy is to delineate the anticipated requirements for all stakeholders within our collaborative supply chain ecosystem thereby fostering enduring, trust based partnerships grounded in sustainability principles throughout the engagement lifecycle.
Compliance with the stipulations outlined in our Ethical Principles, Supplier Selection and Evaluation Procedures is expected from all suppliers as a prerequisite enforced by our organization.
